Project support role in a technology SME

Purpose of the role

Provide effective administrative, financial, managerial, and public communication support to project teams within an Oxfordshire-based technology SME (https://www.chiltoncomputing.co.uk ).

All employees work remotely with very occasional face-to-face meetups. Hot desk arrangement is possible, if needed.

Job role and the offer

  • Role name: project support
  • This is an employee role
  • Gross salary rate: £120/day (£25,920/year), inclusive of pension (if required), PAYE, NI costs
  • Total work per week: 2 days
  • This is a back-office role.
  • Temporary contract, initially 3 months with possibility to extend, subject to project needs and capability-role match
  • Flexible remote working with occasional face-to-face team meetups
  • Occasional and short duration travel opportunities nationally and aboard to provide on-site support, for tradeshows, exhibitions etc
  • On-the-job training provided

Areas of work (pro-rota for the agreed duration of the job)

The role covers some aspects of the following areas of work, adjustments will take place to suit the evolving needs of the projects and the team.

  • Organise and coordinate travel plans, and face-to-face/online meeting organisations for the team
  • Organise, liaise and manage project events, e.g. workshops, showcases, partner events, online/physical campaigns, tradeshows, exhibitions, and trade missions
  • Organise, coordinate and manage project team activities, e.g. meeting minutes, timesheets, reports, meetings, contributions, follow-up actions, and chase-up activities
  • Drive and chase up deliverables and updates that often involve project partners, third-party contractors, and service supply chains (Vistaprint etc), and consultants
  • Support project activities, execution, reporting, and next step developments, including ad-hoc tasks in all aspects of administrative, financial, managerial, and public communication aspects
  • Develop, organise, and manage the workflows and production pipelines for communication materials, e.g. blogs, videos, poster, infographics, and information leaflet using Canva, Powerpoint etc.
  • Xero tasks, e.g. reconciliation, bookkeeping, quarterly management reports, P/L reports
  • Supportcompany annual accounts, tax-return, and finance reporting activities
  • Organise, drive, and manage the company’s social media campaigns, and media production pipelines (e.g. LinkedIn, Facebook)
  • Maintain and manage company contracts, templates (employment, subcontracting, and consultancy) and related tasks
  • Any other matters arise to support company’s project activities
  • Direct report to the company CEO, with accountability and responsibility

Capabilities

The applicant should have demonstrable experience and capabilities in the following areas, including but not limited to:

  • Tech-savvy with modern office and project admin tools, including but not limited to: GSuite, Office Suite, Dropbox, Canva, Zoom, Teams
  • Basic financial capabilities of using Xero for transaction reconciliation, quarterly reporting, and VAT
  • Excellent written and spoken communication skills
  • Excellent organisational skills and inter-personal skills
  • Excellent activity management skills for event/activity planning, organisation, coordination skills
  • Ability to work autonomously with a dedicated and proactive work attitude
  • Prior non-technical writing (e.g. blogs, public info leaflets) experience beneficiary
  • Prior project or office admin experience beneficiary
